How it works

01 / Request

Tell us your first date.

Share the venue, hours, expected ages and available space. We reply within two business days; the request is not a confirmed booking yet.

02 / Review

We assess the space.

SASNA reviews layout, guest flow, timing and capacity, then sends a written pilot plan with commercial terms and any changes needed.

03 / Confirm

Your workspace opens.

Once approved, we create your private venue workspace for scheduling, promotion and aggregate reporting. Child records are never shared with the venue.

Pricing & pilots

Clear terms before you commit.

A session can be venue-funded, parent-funded or mixed. Founding pilots may be complimentary or discounted while we validate the format; your written proposal shows exactly who pays. A venue does not automatically receive a commission or revenue share unless it is included in a separate written partner plan.

What you provide

A visible, workable club area.

Plan for roughly 10 × 12 ft or more, tables and chairs, a nearby outlet, reliable Wi-Fi or cell service, restroom access and a clear emergency path. SASNA brings the Hosts, Cedar Chest activity materials, check-in tools, signage and cleanup supplies.

Team & capacity

Two adults, every session.

The pilot planning baseline is two W-2 Hosts and up to 10 children at one time. SASNA does not schedule one-on-one care. Final capacity may be lower after the site, age mix and activity plan are reviewed; larger groups require a tailored staffing plan.

Timing & changes

Request early; confirm in writing.

Request 3–4 weeks ahead when possible. We answer new requests within two business days. For pilots, ask to cancel or reschedule at least seven days before the session; later changes may include already committed staffing or material costs disclosed in the written proposal. The final venue agreement controls.

Safety & insurance

Built for parent-present sessions.

General liability and abuse & molestation coverage are being finalized ahead of launch; venues will be named as additional insured with a certificate of insurance.

Venue FAQ

The practical questions, answered.

What does it cost?

We support venue-funded, parent-funded and mixed models. Founding pilots may be complimentary or discounted. Your written proposal states the price and payer before you confirm.

Who is responsible for liability?

SASNA and the venue each keep the responsibilities defined in the final venue agreement. SASNA’s liability and abuse & molestation coverage is being finalized; before launch, participating venues will receive a certificate naming them as additional insured.

How much space do you need?

A clear indoor area of roughly 10 × 12 ft or larger is a useful starting point. We review visibility, exits, guest traffic, restrooms and activity needs before confirming capacity.

Will it be noisy?

Programming is designed for calm, table-based creative play rather than loud entertainment. We agree on boundaries and activity choices that fit the venue.

What happens if a child gets hurt?

Hosts follow the documented incident process, contact the parent who remains on-site, provide care within their training and escalate to emergency services when appropriate. Every incident is recorded and reviewed.

How do check-in and pickup work?

The venue-specific link or QR opens the correct session. The Lead Host checks each child in, and pickup requires an authorized adult plus the family’s private PIN.

How is the session staffed?

The pilot baseline is one Lead Host and one Host, both W-2 employees. SASNA does not schedule one-on-one care, and larger groups require a larger approved team.

How do you promote the night?

After a session is confirmed, the venue workspace provides approved links and assets. SASNA and the venue agree on timing and channels; no customer list is uploaded or messaged without permission.

What if we need to cancel?

For pilots, request cancellation or rescheduling at least seven days ahead. Any later committed cost is disclosed in the written proposal, and the final venue agreement controls.

How do we start a pilot?

Submit the first-session request below. We reply within two business days, review the space and staffing, and send a written pilot plan before anything is placed on the calendar.
